Team Composition

  • This person should have strong leadership skills, crisis management experience, and a thorough understanding of the organization's operations and processes.
2.2 Select Key Team Members
  • Identify individuals from different departments or functional areas who will form the core Emergency Response Team.
  • Consider including representatives from facilities management, human resources, communications, IT, operations, and security.
2.3 Define Backup Team Members
  • Assign backup members for each key role to ensure continuity in case of unavailability or rotation of primary team members.
2.4 Establish Roles and Responsibilities

  • Document these roles in the business continuity plan and ensure that team members understand their responsibilities.

Training and Preparedness

3.1 Conduct Training Programs
  • Provide comprehensive training to the Emergency Response Team members on their roles, responsibilities, and the organization's business continuity plan.
  • This training should cover incident management, emergency response procedures, communication protocols, and any specific actions related to a haze scenario.
3.2 Regularly Update Training
  • Schedule regular training sessions to refresh team members' knowledge and skills.
  • This can include tabletop exercises, simulations, or drills to simulate a haze scenario and test the effectiveness of the team's response.

  • These procedures should cover the activation of the team, communication protocols, incident documentation, decision-making processes, and coordination with external entities.

Communication and Coordination

4.2 Develop Contact Lists

  • Ensure these contact lists are regularly updated and easily accessible to team members.
4.3 Define Communication Protocols
  • Establish clear communication protocols for the Emergency Response Team, including who should be contacted in different scenarios, the frequency of communication updates, and the format of communication (e.g., briefings, conference calls, written reports).
4.4 Coordinate with External Entities
  • Establish relationships and communication channels with external entities such as local authorities, emergency services, and relevant industry associations.
  • This will facilitate coordination and information sharing during a haze scenario.

Equipment and Resources

  • This can include arrangements with external suppliers or mutual aid agreements with other organizations.

Documentation and Reporting

6.1 Incident Documentation

  • Ensure that team members are trained on how to complete incident reports accurately and promptly.
6.2 Document Retention
  • Establish a system for securely storing and retaining all incident-related documentation, including incident reports, communication records, and relevant correspondence.
Adhere to any legal or regulatory requirements for data retention and privacy.

Review and Continuous Improvement

7.1 Regular Review
  • Conduct periodic reviews of the Emergency Response Team's effectiveness and performance. Assess the team's response to past incidents or exercises, identify areas for improvement, and update the business continuity plan accordingly.
7.2 Lessons Learned
  • After each haze scenario or exercise, conduct a debriefing session with the Emergency Response Team to capture lessons learned and identify opportunities for improvement. Document these lessons and incorporate them into future training and plan updates.
