  The following are Standard Operating Procedures (SOP) for Program Admin activities involving course coordination for WSQ courses offered by BCM Institute.

Synchronous E-Learning

 

Purpose

This SOP outlines the standardised process for conducting synchronous e-learning courses at BCM Institute. It ensures high-quality training delivery, compliance with regulatory requirements, and a consistent learner experience across all virtual sessions.

Scope

This SOP applies to all instructors, course coordinators, and administrative staff involved in the planning, delivery, and evaluation of synchronous e-learning courses conducted by BCM Institute.

Definitions

  • Synchronous E-Learning: Online learning happens in real-time where instructors and learners are engaged simultaneously via a digital platform (e.g., Zoom, Microsoft Teams).

  • Trainer: A qualified professional responsible for delivering course content and engaging learners.

  • Learners: Individuals enrolled in the course, including working professionals, certification candidates, or public registrants.

Platform Requirements

  • All sessions must be conducted using approved platforms (e.g., Zoom Pro, MS Teams) with support for:

    • Video and audio interaction

    • Screen sharing

    • Breakout rooms

    • Chat

[Before] Pre-Session Activities

Trainer Preparation
  • Review and finalise course materials 1 week before the session.

  • Conduct a tech check with the course coordinator at least 24 hours before the session.

  • Familiarise yourself with learner names and profiles if provided.

Participant Communication
  • Send session details, joining instructions, and technical requirements at least 48 hours prior.

  • Include guidelines on netiquette and attendance policies.

Administrative Tasks
  • Upload course run details and participant info on the [SSG TPGateway] portal.

  • Set up e-attendance with SingPass authentication if required.

 

[During] Conducting the Session

Attendance
  • Verify attendance via e-attendance (SingPass) at the start and end of the session.

  • The trainer and course coordinator are to maintain a manual backup list.

Engagement
  • Incorporate breakout discussions for group activities.

  • Record attendance and participation during group activities.

Delivery
  • Begin with a brief on course objectives and learning outcomes.

  • Follow a structured agenda as per the approved curriculum.

  • Maintain learner visibility (cameras on, where possible).

 

[After] Post-Session Activities

Evaluation
  • Share post-course feedback links after each session.

  • Trainers to mark assignments.


Quality Assurance

  • Training sessions will be randomly observed by QA personnel.

  • Learner feedback will be reviewed monthly for continuous improvement.
