1. What was performed?

My team is engaged to assist the client in enhancing/updating their processes and procedures for handling Crisis. At that time, XYZ International is in transition to acquire an oil and gas asset in Country X. Acquisition of the assets requires XYZ International to demonstrate that they have robust Crisis Management processes and procedures in place.

My main tasks are as follows:

  • Scope XYZ International’s current capability and capacity in crisis management;
  • Propose a fit for purpose project (set of activities) as part of their enhancement programme; and
  • Manage and implement the project upon agreement by XYZ International to the proposal

2. When was it done?

The project is still ongoing with the following milestones completed:

  • Submitted proposal on August 202X and approved by XYZ International by 16 September 202X
  • Submitted final Crisis Management Plan and approved by XYZ International on 16 November 202X which includes the identification of crisis management strategies
  • Conducted first Workshop and Training for the Crisis Management Team using the CM Plan in accordance with the approved CM Strategies on 22 November 202X

The next Workshop and Training and first Tabletop CM Exercise are tentatively scheduled for January 202X.

3. How was it carried out?

  • I worked closely with XYZ International's focal person to understand their requirements and needs in Crisis Management. I have to understand their operations and business to have a good grasp of the appropriate and applicable crisis scenarios that they would face and the processes and procedures that would fit their organization.
  • Held numerous discussions were held to ensure all their stakeholders provided their comments on the Crisis Management Plan (CM Plan) and understood the overarching philosophy of the CM Plan.
  • Finalized Crisis Management (Recovery) strategies and were included as well as part of the CM Plan.
  • Identified certain crisis scenarios that would prevent them from fulfilling their operations and subsequently their contractual obligations to their customers. Such scenarios include damage to their gas pipeline that results in loss of gas transmission to gas power plants and significant incidents affecting their gas processing plants (e.g., fire).
  • Recommend alternative means of how the Crisis Management Team (CMT) will meet and discuss plans of action in the event they are not able to see each other in person.
  • Used Crisis Management Strategies to develop Scenario “Playbooks” and these playbooks were celebrated and further incorporated into the CM plan.
    • The intention of the “Playbooks” was to provide examples to the Crisis Management Team what should be their priorities, worst-case scenarios, actions, impacted stakeholders and how would they craft and manage their message.
    • Develop strategies as well as part of the “Playbooks”.
  • Examples of crisis management strategies were identified as part of the CMP:
    • Identification of third-party suppliers of gas that could be activated in the event their incident affected their capability to produce, process and transport gas to their customers;
    • As this was a significant gap, the development of CMP got the internal stakeholders to consider the identification of alternative sites. While alternative sites were not mentioned in the current revision of the plan, management committed to looking into this matter; and
    • Use of technology (remote platforms such as Microsoft Teams) in ensuring the CMT are able to meet and come up with plans to address their crisis scenario.
